The Swans Pre-AGM to Plan an AGM

14 Mar 2026

We've never been accused of being too organised

The Pre-AGM to plan an AGM. As with all things Swans - it was realised a bit late in the piece that we didn't quite have all our ducks in a row to have a formal AGM. But either way, one of our new partners - R&D Cycles welcomed us with open arms into their shop to have a chat anyway!

Here's the long and short of what was discussed:

AGM

We've been advised we haven't quite got everything ready to run a formal AGM.

From the advice provided by Ann and Pete, the committee is going to be working on a number of projects including a revision of the constitution, developing the club’s annual plan, governance and compliance improvements, and improving communication channels with members.

We will also hold an AGM in the new financial year to implement the updated constitution and vote in the office bearers / committee members.

Membership

An updated membership process implemented:

  • New riders must ride 3’s for 3 - 4 weeks and join the club for a coffee at Cheeky Boy

  • Assuming they can ride safely and are a good cultural fit for the club (as assessed by other members) a link to membership page is sent

  • Once they have paid membership, they can access the kit store

  • Once they have kit, they can ride in whatever group is appropriate to their level

  • If the rider is a referred rider, a case-by-case assessment will be made by the committee on how many rides they might need to do. E.g. If Plappy asks to come along, he might get to skip the process altogether.

Partnerships

R&D Cycles

R&D have come on as a key sponsor for the Swans. There will be help in the shop, on the road and at events! We’ll see more of Luke or Tony on the Wednesday and Friday social rides regularly. Not just behind the counter, but part of the bevvy

Pedalare

We are also proud of our ongoing partnership with Pedalare. Not only does Cam’s kit design set the Swans apart, but we are so grateful for the kit distribution process they offer. Pedalare will also be helping out with some discounts on their store.

Twin Peaks Coffee

We are so grateful to have Tom Greene as a part of the club, and we thank him for his support with Twin Peaks Coffee. He is literally fuelling SDCC at racing events and via discounts to members.

Racing

It’s been a big year for the Swans on the road and off-road racing scene. We want to take a moment to recognise the achievements of Swans over the past 12 months across a range of racing events, in particular the incredible achievements and efforts at the 2026 Road Nationals Events.

Also, a big shout out to all those who competed on behalf of the club in the various crits, road races, cyclocross and gravel events throughout the year.

Social

A key part of the Swans is the social connection which comes with being part of this community. We relish the opportunity to get together on and off the bike and enjoy each other’s company.

Over the last 12 months we’ve had a number of social occasions including:

  • 2025 “Christmas” Party (in April) at the Buffalo Club

  • Giro D’Italia night at Varsity, Waterford

  • Burger rides finishing up at Corner Store Burgers, Attadale

  • Social events around the 2026 Road Nationals (Varsity Northbridge and Terrace Hotel)

The 2026 Christmas Party is coming up on 30 May at the Buffalo Club, and we will also be running some social events around Giro D’Italia, TdF, burger rides, etc. which we’ll post online.

Acknowledgements / Thank you's

There are many Swans who make a valuable contribution to the club and it’s ongoing success.

We would like to take a moment to thank Jarrod King for his amazing work in creating our new website.

Also, we’ve had Ann Brinkamp and Pete Minchin attend the latest committee meeting and they have provided invaluable wisdom and advice which will guide some of the committee’s work over the next 6 - 12 months in advance of the next AGM.

shout out to the 2025 Club Champion, Tim Doyle, who continues to take the lead on Saturday Hills ride and thank you also to Felix Moore for championing the Friday Social ride each week.
